Weekends are my time off. I can answer questions only if they are urgent, otherwise, you can expect an answer back from me, first thing Monday morning.

Communication guidelines

 

During your project, we will primarily use Asana & Telegram to communicate. This helps me keep everything organized and in one place. Don’t worry, I’ll show you how to use ASANA below.

Please start a new thread for each question. I do my best to reply to all communication regarding active projects on the same day (during my office hours).

Please send me all the images and files in the appropriate format on ASANA. Again If you send me a file via email, it might get lost and you’ll have to send it again. Sending it through ASANA, and it will be saved in the files section for later use.

If you’d like to chat via Zoom/phone, you can schedule a coffee chat here. Scheduling calls keep my work from being interrupted and allow me to focus on your project!

Schedule  and  Deadlines 

I will create your project schedule in Asana. You will get reminders when a task is assigned to you and another reminder when the task is due. If you need more time than what I gave you, just let me know and we’ll work something out. It’s really important to be able to keep with the project schedule so your project can be at the expected time frame.

DELAYS TO THE PROJECT SCHEDULE (As stated in our contract.)
I understand that sometimes it’s impossible to reply to emails and messages immediately, and so I don’t expect you (or myself) to be able to do so. At the same time, I’ve found that keeping the momentum going produces the best results for both me and my clients.

To encourage everyone involved to do this, a delay fee of five percent (5%) of the attached quotation amount will kick in for every fourteen (14) consecutive days that either you or I go unresponsive – not providing information, instructions, materials or anything else necessary for the project to proceed.

The maximum amount that either you or I can claim under this clause is a sum that is equal to the quotation amount.

If you are more than 30 days late after the given deadline I’ll be entitled to stop your project without any refund. If you tell me before the deadline that you won’t be able to deliver content on time, your project can be put In Pause Clause Status. Which means that your project will be rescheduled for next availability date. In order to be placed on a Pause Clause Status, you must give us a notice 7 days before the deadline passes. Clause pause will cost 20% of remaining balance.

 

I wanted to put this part of the contract here because it’s really important to be able to keep with the project schedule. You can access your contract through your client portal above.

Content   Guidelines

To build your website properly, I’ll need your content before we begin. This includes text copy and any images you wish to use.

Text content

All text content should be final and ready to become part of the website. Keep in mind that you will be able to change the text on your website once it is launched. Please upload text content as formatted Word docs/Google docs to ASANA.

Image content

All images should be final and ready to become part of the website. Keep in mind that you will be able to swap out images on your website once it is launched. Please upload all images to ASANA in as high-resolution and high-quality as you can. I will edit them appropriately for the website.

Questionnaire Content

There will be some questionnaires that you’ll have to fill out for me as homework. I will need for you to be very clear and specific when answering all the questions. Vague answers will only leave me more confused and would diffuse the point of a questionnaire, which is to save time and get as much information as I need to start your project.

Feedback Guidelines

This project is a collaboration, which means I can’t do it alone. I need your feedback in order to make the most effective website possible. Here are a few tips that will help me create the best website I can for you!

  • Be as specific as possible – what exactly isn’t right, and why doesn’t it work for you? Try to really narrow down to what the problem is.

 

  • Be honest – you’re not going to hurt my feelings, I need to honestly know what you think.

 

  • Don’t ask random people for their input – feedback from your mom, best friend, or social media group isn’t helpful. You need to focus on YOU and YOUR audience, not anyone else’s opinion.

 

  • Remember your audience – the whole point is to create something that attracts your audience. Keep them in mind and put yourself in their shoes when reviewing the project.

 

  • Don’t try to fix it – that’s my job! You hired me for my expertise; let me put my experience and knowledge to work.

 

  • Sleep on it – review, and then review again tomorrow. Sometimes it takes a bit for things to soak in, and having a night or two in between initial reaction and sending me your feedback can help pinpoint what you really love, and what needs work.

 

  • Ask questions – if you don’t know why I did something the way I did, ask. Everything is done for a specific reason, and I’m happy to explain why I went a certain route with your project.

Do I have to use a project management system?

Yes! It makes things so much easier for both of us! It keeps everything in one spot and shows what we both need to be working on. If you’re struggling with it, let me know and we can schedule a 30-minute Zoom call to walk you through it. 

How many revisions do I get?

 This information is outlined in your contract! If you don’t have it handy, let me know and I’ll resend it to you. You can also find your contract in your client portal above. 

When will my website be ready?

Once you get access to your project schedule on ASANA, you will see when your website may be ready, of course, this is only if there are no delays in the project schedule. The faster you can complete all the tasks assigned to you, the faster we can finish your website.
